Backup routines

Encryption

All Fertsoft databases are encrypted at rest (EAR) when backed up. This means no access to the databases is possible without an encryption password.

Placement and intervals

The E:/ disk on the server is utilized for backing up data.

- The Fertsoft database is backed up daily with seven (7) generations kept on the E:/ disk.
- The ivfServices database Frontbase is backed up daily with three (3) generations kept on the E:/ disk.
- Access logs are stored on the backup disk when configured.

The time at which the backups are performed are coordinated with the IT department but is generally performed sometime between 18:00 and 06:00. The Fertsoft database is encrypted at rest (EAR) when performing backups.

If there is space CSAM Fertsoft can elect to perform weekly, monthly and yearly backups to further increase data retention possibility from primary backup. Seven daily generations are the minimum requirement of disc space.

Secondary backup

Secondary backup of the E:/ disk is to be performed by another responsible party, ie the clinic IT or technical representative.

Backup can be performed only of the E:/ disk or by full backup of the server depending on server solution.

CSAM Fertsoft only guarantees the integrity of the primary backup files. Any active databases at the time of backing up a whole server solution might not retain its integrity in its backed up state as the database is being used actively.

Backup retrieval

In the event of a server malfunction the database can be retained from the backup and installed by CSAM Fertsoft in cooperation with the clinic IT or technical representative.

As the data is encrypted CSAM Fertsoft needs to open the database as the encryption password needs to be entered during database opening sequence.

Data retained from a backup is generally no older than 24 hours.

Deviations from routines

If the customer for their internal procedures requires the possibility to be able to restore a database without the help of CSAM Fertsoft a new encryption key is to be requested and the IT department is to train its staff in the procedures of database restoration using FileMakers tools.

If a non standard disk setup is used the placement of backups needs to be communicated and agreed upon.

Any additional demands on backup intervals are to be agreed upon and contracted.
